Job Description
We are seeking a detail-oriented and proactive professional to provide executive, financial, and administrative support to the Director. The role involves managing communications, overseeing financial processes, coordinating meetings, and ensuring smooth day-to-day operations within the organization.
Key Responsibilities:
1. Communication & Information Management

Serve as the primary point of contact, managing calls, emails, and visitors.

Draft and prepare correspondence, reports, and presentations while handling sensitive information with discretion.

Maintain organized electronic and physical records for easy access.

Conduct research and prepare briefing materials to support decision-making.
2. Financial & Account Management

Manage donor fund tracking, project-based accounting, and compliance.

Prepare financial reports, maintain salary sheets, and record organizational expenses.

Provide updates and reports to donors regarding sponsored students and organizational growth.

Proficiently handle MS Excel (Advanced), Google Workspace, PowerPoint, and related tools.
3. Diary & Meeting Coordination

Schedule and manage complex calendars, appointments, and travel plans across time zones.

Organize meetings, prepare agendas, circulate materials, document minutes, and follow up on action items.

Arrange logistics for travel, accommodation, and event participation.
4. Administrative & Office Support

Prepare reports, presentations, and data-driven documents with accuracy and professionalism.

Manage expense reports, budget tracking, and account reconciliations.

Oversee office operations including supplies, equipment, and maintenance.
5. Director Support & Stakeholder Liaison

Anticipate and address the Director’s needs to ensure preparedness for meetings and events.

Assist in special projects and coordinate with internal teams.

Communicate effectively with donors, board members, government officials, and external partners.
